Introduction

Voiceoo.com (“Voiceoo”, the “Service”) is a sales enablement platform operated by Various Ventures Group LLC (“we,” “us,” or “our”). This Privacy Policy explains how we collect, use, store, and share personal data when you use our Service, which orchestrates sales lead contacts via calls, emails, texts, and postcards. It also describes your rights under applicable privacy laws (such as the EU General Data Protection Regulation (GDPR) and the California Consumer Privacy Act (CCPA)) and how you can exercise those rights.

We are committed to protecting your privacy and handling your personal information in a transparent and secure manner. This Privacy Policy is prominently linked on our verified domain homepage and within our app. By using Voiceoo, you agree to the collection and use of information in accordance with this Privacy Policy. If you do not agree, please do not use the Service.

Information We Collect

We collect various types of personal data from you and about you to provide and improve the Service. This includes:

Information You Provide

When you register or use Voiceoo, we collect personal identifiers and contact details such as your name, email address, phone number, company name, and business address. If you subscribe to a paid plan, we (or our payment processor) collect payment information (e.g. credit card number, billing address) to process your subscription. We also collect any content you upload or generate on the Service, such as contact lists (lead information), notes about contacts, call recordings and transcripts, voicemail messages, email content, and any files or images you provide. This includes AI-generated content you create using our features (for example, voice models for voice cloning, synthetic voice recordings, AI-generated emails or images, and AI virtual assistant interactions). Such content may contain personal data if you include or capture it (e.g. a person’s voice in a call recording).

Information from Connected Accounts

If you choose to connect your email account or other third-party services (e.g. a CRM system) to Voiceoo, we will access and process information from those services to perform the integration. For example, if you connect your email, the Service will send emails on your behalf and sync responses, which means we may process the content of sent and received emails. If you integrate a CRM, we may receive contact information and communications data from your CRM to use in Voiceoo sequences. We collect and use such data solely to provide the features you request.

Your Google data is processed and stored using industry-standard security measures (as described below) and is shared only as necessary to provide the Service. You have the right to revoke access to your Google account at any time.

Usage Data

We automatically collect information about how you use Voiceoo. This may include log data, device information (such as your IP address, browser type, and device identifiers), pages or screens visited, features used, links clicked, and access dates/times. We may also collect telephony and messaging metadata (e.g. numbers called, call durations, timestamps) and records of communications (e.g. call recordings, voicemail or call transcripts, text message content) when you use our calling and texting features.

Cookies and Similar Technologies

We use cookies and similar tracking technologies to collect website usage data and improve your experience. Cookies help us remember your settings and preferences, facilitate account login, and analyze site traffic. You can configure your browser to reject cookies, but some features of the Service may not function properly without them. For more details, please see our Cookie Policy.

Data Protection, Retention, and Deletion

Data Protection Mechanisms: We employ industry-standard security measures to protect your sensitive data. This includes:

  • Encryption of data in transit (using TLS) and at rest (using AES or equivalent).
  • Strict access controls ensuring that only authorized personnel have access to sensitive data.
  • Regular security audits, vulnerability assessments, and use of firewalls and other security technologies.
  • Ongoing monitoring and testing of our security measures to prevent unauthorized access or data breaches.

Retention and Deletion of Google User Data: We retain only the minimum Google user data necessary to provide our Service. Specifically, our application retrieves and caches only your email address and limited data from your Gmail account for integration purposes. Cached data is automatically purged based on our retention schedule, and no additional Gmail content is stored. You may request deletion of your Google user data at any time by contacting us.

Use of Workspace API Data for AI/ML: Our application does not use any user data obtained via Google Workspace APIs to develop, improve, or train generalized AI or ML models. The only data retained from your Gmail account are your email address and minimal cached data required for operational purposes.

How We Use Your Information

We use the collected information for the following business purposes:

  • Providing and Improving the Service: We process your personal data to operate Voiceoo and deliver the features you request. This includes using contact information to communicate with leads via calls, emails, SMS, or postcards, using call recordings or transcripts to log interactions, and generating AI-based outputs (e.g. voice cloning or email drafts). We analyze usage patterns to enhance the Service but access content only as necessary for these purposes.
  • Account Management and Customer Support: We use your data to manage your account, provide customer support, send service updates, and respond to inquiries.
  • Payment Processing: We process your payment information (via a third-party payment processor) to handle subscriptions and maintain purchase records. For security, full credit card numbers are not stored on our systems.
  • Marketing: With your opt-in, we may send promotional communications about new features or services. You may unsubscribe at any time.
  • Compliance and Protection: We use personal data as required to meet legal obligations, enforce our Terms, and protect the rights and safety of our users, including fraud prevention and dispute resolution.

We use your personal data only for the purposes described above or for other compatible purposes. If our usage of your data changes, we will update this Privacy Policy and notify you.

If you are in the European Economic Area (EEA), United Kingdom, or another region with similar laws, we process your personal data under the following legal bases, as permitted by GDPR:

  • Consent: For processing that involves sensitive personal data (such as voice recordings for voice cloning), we obtain your explicit consent. You may withdraw consent at any time without affecting the lawfulness of prior processing.
  • Legal Obligation: We process data as required to comply with legal obligations, such as tax, accounting, or responding to legal requests.
